Call

Calls are a record within Call2Field, primarily for a job which requires an Engineer to attend. These consist of various Codes and are displayed in tabs for ease of navigation.

To open the Call screen, hover over the Call Module on the Nav Bar, and either click anywhere on the 'Call' line to view the full Call list, or click the '+' icon on the right to go straight to the Add Call page. You can also use the Call or Add Call buttons on the Home Screen to do this.


Call List

The Call List will display all Calls within your database. These can be filtered either using the search bars for each column, for example filtering by Call Type. You can also use the Advanced Search option which will give you fields to search which don't appear in the list.

Once you have found the Call you wish to view, double click to load it.


Call Add

To add a new Call, go to the Call Add page. The first thing you'll be asked to fill in is the Site record. This will then generate & populate the rest of the details on this page (where possible). You can also tick the 'New Site' tickbox above the Site dropdown if you wish to create a new Site, however this needs to link to an existing Customer, so make sure you have the Customer record beforehand.

You can make changes to the information which is loaded, such as the Site Notes, Address etc, and also new Contacts can also be added at this stage by ticking the 'New Contact' tickbox.

Beneath the Site details, you can specify Equipment for the Call. The list will show all Equipment for the Site, and double clicking a line will add it to the Call. if only one Equipment item exists, this will be selected by default. There is also an 'Add New Equipment' button if you need to add a new record. You can also use the 'Product' tab if you wish to raise a Call with no specific Equipment, but a generic Product record.

Once you have filled in the details, click 'Confirmation' to progress. Depending on your Settings, you may see a 'Status' pop-up window which gives some details about the Site, Equipment and Contract that relates to this Call.

Click Continue once you're ready to proceed, and then you can fill in the final page. Make sure to fill in any mandatory fields, and the click the 'Save New Call' button on the top right once you are ready to save.

Once the Call has been saved, it will give you a Call Number, and show you the Call on screen, where you can make further changes if necessary.


View/Edit Call

When you have either saved or loaded a Call, you'll see the Call Modify screen - from here you can view or make changes to the job. Certain fields will be unchangable such as the Call Logger, Call Number and some of the date fields etc.

Across the top of the screen are some Tabs which are detailed below. The primary 'Call' tab will be loaded by default, and contains an overview of the job, such as the Status, Call Type, address, notes etc.

Call Modify Screen

After making any changes, click the Save button to update the Call record. You can also click the New button to raise a new Call, or click Print to generate a PDF of the Job Sheet.


Tabs

The Call screen has multiple tabs which divide this screen into useful sections for ease of use. They are as follows:

Field Reports

Field Reports are a part of a Call, usually filled in by the Engineer via Call2Field Mobile whilst on-site. A Field Report can be used to record a visit to Site to detail an issue, what was done about it and what Parts were used, if any.

The Field Report tab on the Call screen shows a list of any saved Field Reports, as well as letting you create a new one.

Call Equipment

The Call Equipment tab will show a list of all Equipment allocated to the Call. There is a tickbox which can be toggled to show or hide the rest of the Site's Equipment records, making it easy to add extra Equipment to a job whenever necessary.


Team

The Team tab is used to list and add Call Events. a Call Event is a record of an additional visit or Engineer, under the same Call Number, for example if 2 Engineers attend during the same visit, or even on different dates.

From this tab, you can click the Add button to add a new event, or click the pencil icon on an existing event to view it. Call Events will also appear within the Diary and Monitor depending on your settings.

To add a Call Event, simply fill in all of the mandatory fields. An event can have a different Status, Call Type, dates and notes from the main Call. Click Save when you've entered all the details.

Call Events will allow the assigned Engineer(s) to see the Call within Call2Field Mobile and fill in their own Field Reports. All of these will then be on the same Call Number.


Notes

The Notes tab contains all of the Call Notes for this job. Call Notes can be created for anything that doesn't directly relate to the issue, and therefore wouldn't go into the 'Problem Notes' field, such as documenting any further interaction with the Site, or keeping an audit of changes to the job. There is a setting which allows you to auto create notes upon certain changes, such as changing a Call Type or Engineer.


Clocks

The Clocks tab is used to capture dates and times, which can then be used to indicate how long it took to close a Call, whether it was achieved within it's estimated Response and Fix times etc.

The fields are detailed below:

Actual Response TimeThe time which it took for the job to be attended (in hours)
Call Down TimeThe number of hours from when the Call was added, to the first time a Field Report is saved as DOWN or COMP
Total Time on SiteThe total number of hours on Site, across all Field Reports
Total Call TimeThe time from logging the Call to the first Field Report which is set to COMP

Call Parts

The Call Parts tab has 2 sections, and is used for both Part Requests and Call Parts. Part Requests are used by Engineers to let the office know of any Parts which they need on their vans. Call Parts are added to the Call by the office users to suggest Parts to the Engineer for the job.
